Data requirements are always changing as the Railroads and Railinc increase the number of mandatory data fields. Please download fresh forms every time you want to input a car or loco to ensure you have the latest version!

Fields in BOLD are mandatory. You must provide this information or the UMLER computer will not accept the information. The optional information helps provide more data for potential customers and is, as the name implies, provided at your option. RPCA has additional mandatory identification fields to ensure we have absolute identification of your rolling stock. Please ensure that all mandatory data fields are properly filled in to expedite your upload. If they are not, we have to kick it back to you to provide the required information.

A NOTE ON CAR DATA:

The new Equipment Roster provides data on all rolling stock of RPCA members, including those for the RPCA General Roster. That way, as members want to upgrade their listing from a siding queen by uploading to UMLER, their car entry only needs to be upgraded to include the appropriate data and the assigned RPCX number. This data includes physical characteristics that the old Equipment Roster didn't previously collect, e.g. length, truck centers, width, height, gross weight, tare weight, axle loading, conforming to which clearance Plate, eaves hights and widths and several others.

For Those RPCA members that are interested in obtaining RPCX reporting marks and UMLER registration and are already AMTRAK certified, most of the information required is available on your AMTRAK forms.

For those RPCA members that are not AMTRAK certified, instructions are available on what is required, along with some recommendations on how to do it from the links below. But please remember, this data is important and must be correct. A dome car listed as 4 feet 11 inches tall is definitely going to get hurt going under a low 11 foot clearance bridge when the car is over 15 feet tall!!! And by the Interchange Rules, the owner is responsible for ALL damage to their car, the bridge and track, and any personnel, because the wrong data was uploaded to UMLER! Don't laugh at this as being a silly example, we've already found one Budd dome car that is 15 feet 10 inches tall, registered with an extreme height of 4 feet 11 inches in UMLER under a different reporting mark!!!! We do check the data for logical content before we use it! This is to protect you as much as ourselves. And please remember, we are under orders from the BOD to make every offort to ensure that the RPCX UMLER file is error free! We will delay your inputs until ALL of the required data is provided. You will not do this correctly with a 3 foot yard stick and a 3 step kitchen stool! If in doubt, GET HELP! RPCA is full of friendly people willing to help, as well as many companies that perform services such as inspections, repairs and modifications for nominal fees.

AGREEMENT

This link is for the AGREEMENT between the car or loco owner and RPCNB. This Agreement is a legal document binding the RPCA Member Car or Loco Owner to the requipments. Signing and returning the Agreement, along with paying the fee, is required before you will be assigned a RPCX number. This is an Acrobat (.pdf) document that you can download, print, properly execute, copy and mail to us along with your payment. Only one agreement needs to be executed by the owner for any number or combination of cars and/or locos! If you change the ownership from an individual to a company or vice-versa, please execute a new agreement and sent it to us, and notify the Membership Committee to change your membership data. Otherwise we may confuse the change as a sale to a non-member and delete your car!

RPCX/UMLER EQUIPMENT FORM

Below are links to the car data form and instructions that will provide data compliant with AAR UMLER Format A minimum requirements as well as the usual RPCA fields of interest to leasee or buyers. This form will also be used for general freight cars, but not hoppers, intermodal nor tank cars.

Contact us if you need additional information on other car types.

Forms are provided in MicroSoft Office format.

INSTRUCTION in MS Word (.doc) format.

RPCX/UMLER CAR DATA FORM in MS Word format.

RPCX/UMLER CAR data form in MS Excel (.xls) format.

LOCO DATA FORM

There are so many more fields that require looking up in a table the single character that describe several items, we have not been able to consolidate the data into an instruction sheet that would be less than 40 pages! Because of the complexity issues, and because loco owners "should" know more about their equipment, we have not put together a "See Spot Run" instruction sheet similar to the above for passenger cars.

Instead, we offer this link, courtesy of Railinc, to the UMLER DATA SPECIFICATION MANUAL.

Please be sure you use Format E for Locomotives to determine the correct input for the data form fields!!! Steam Locos use the same format. Doesn't fit well, but that's what we've got for now, until we change to the new UMLER system in a couple of years. If you have any questions, get help, or contact RPCNB. Please do not contact Railinc as they do not know your locomotives.

This link is the RPCX/UMLER LOCO DATA FORM in MS Word (.doc) format. You may download the data form and fill it in, and submit electronically (either by email for fax), or download the data form, print, and fill in legibly (please) by hand and snail mail along with the Agreement and fee payment.

If you submit the data electronically, don't forget to send the signed agreement and a check for the fee payment or use Paypal!
